Terms for Schools & Centers

These terms supplement our Terms of Service and Privacy Policy for CLASSQR. When creating a Center, the Center's representative confirms they have read and agree on the Center's behalf. Version: 2026-09-30.

1. Roles of the parties

• The Center is the data controller for the personal data of students, parents and staff that it adds to or collects through its site: the Center decides the purpose and manner of processing.
• TEX Vietnam Technology JSC ("we") is the data processor: we process data only on the Center's instructions, to provide the CLASSQR features the Center uses.

2. Center's responsibilities

• Have a lawful basis to process data under the data protection law that applies to it, including the consent of the student where required and, for minors, the consent of a parent or guardian (and of the minor, where the law requires it). For special category data (e.g. facial data used for face-based attendance), obtain separate consent for that specific purpose.
• Publish a privacy notice for students and parents. The Center may use an auto-generated notice built by CLASSQR from the features the Center uses, or write its own; if it writes its own, the Center is responsible for its completeness and accuracy.
• Write and be responsible for its own tuition, deposit, refund and conduct terms with parents. Any template CLASSQR provides is for reference only and is not legal advice.
• Enter only the data needed for teaching and learning; avoid entering sensitive personal data when it is not necessary.
• Use its public page only to present its own teaching activity. Do not post unlawful, fraudulent, gambling or lending advertising content; do not buy, sell or trade advertising links; do not use the page to boost another site's search ranking; do not hide text or links from visitors.
• Assign staff permissions appropriate to their role, keep account credentials confidential, and revoke access when staff leave.
• Receive and respond to requests from students and parents to access, correct, delete or withdraw consent for their data; CLASSQR provides tools to help the Center do this.

3. Our commitments as processor

• Process the Center's data only to provide the service; never sell it or use it for advertising. Content sent to an AI provider does not include a student's full name, phone number or photo, and is not used to train the provider's models under its API terms.
• Apply the storage and security measures described in section 7 of our Privacy Policy.
• Share data with a subprocessor only to the extent needed to run the features the Center has enabled (server infrastructure, email, AI providers) as listed in section 5 of our Privacy Policy, and require those subprocessors to protect data to an equivalent standard.
• Notify the Center and, where required, the competent authority within 72 hours of discovering an incident that exposes, loses or alters the Center's personal data without authorization, along with the remedial steps taken.
• Help the Center respond to data-subject requests and provide the information it reasonably needs for a data protection impact assessment on request.

4. Retention and end of service

• Data is kept for as long as the Center uses the service.
• When a paid plan expires, the Center reverts to the Free plan and its data is retained; paid-plan features are suspended.
• When the Center requests deletion, data is removed from active systems within a maximum of 30 days; during that period the Center may ask us to help export its data. Payment records are kept for the period required by accounting and tax law.

5. Public page, domain and branding

• On a custom domain, the CLASSQR brand is hidden from the interface. The Center's privacy notice still names the processor (TEX Vietnam Technology JSC), since students and parents have the right to know who processes their data.
• On a subdomain issued by CLASSQR, outbound links from the public page to other sites are marked so search engines do not treat them as endorsement links (nofollow). On a custom domain, links keep their normal attributes.
• The public page is submitted to search engines once the Center is on a paid plan or has students in an active class. Before that, the page is still reachable by direct link but marked not to be indexed. CLASSQR does not guarantee search ranking.
• If a public page violates section 2, we notify the Center owner by email or in-app notice and may suspend the page if it is not fixed within the notified period. For serious violations (fraud, malware, unlawful content), we may suspend it immediately and notify afterward. While suspended, the public page shows only sign-in, registration and the standard policy pages; the Center's data and class management area keep working. The Center can fix the content and request reinstatement.

6. Changes to these terms

When these terms change materially, we notify the Center owner by email or in-app notice at least 7 days before the change takes effect, and may ask the owner to re-confirm acceptance.
